1. Preparation for Inspection

– Review Contractual terms: Before visiting the facility, review the contract and buyer’s specifications to understand the requirements for labeling, grading, and quantity.
– Inspection Tools: Prepare necessary tools and equipment such as sampling tools, labels.

2. Arrival at Coffee Exporter’s Facility

– Introduce Inspection Team: Meet with the facility manager and introduce the inspection team. Explain the purpose and scope of the inspection.

3. Physical Readiness Assessment

– Visual Inspection of Coffee Bags: Check the condition of the coffee bags to ensure they are intact and free from damage or contamination.
– Storage Conditions: Verify that the coffee is staffed in a clean, dry, and pest-free environment to prevent quality degradation.

4. Sampling Process

– Random Sampling: Take samples from at least every accessible bag. Ensure that samples represent different sections of the stack.
– Sample Labeling: Clearly label each sample with relevant details such as date, number of bags, contract number,grade of coffee, buyer,exporter,

8. Reporting and Documentation

– Inspection Report: Compile a detailed report outlining the findings of the inspection. Include observations, discrepancies, and any corrective actions taken.
– Photographic Evidence: Include photographs of the storage conditions, labeling, and any issues identified during the inspection.
– Sign-Off: Obtain signatures from both the inspection team and the facility manager to confirm the completion of the inspection.
